Studio Policies & Procedures

All families are required to pay a non-refundable registration fee ($45 for a single student, $60 for Multi-Student Families) at the time of registration. This setup fee allows us to create access to our online portal, which is the center for billing, communication, scheduling, & progress tracking for your student(s).

This registration fee is billed on your initial invoice.

A Returning Student Re-Enrollment Fee of $15 is required for any student who has previously withdrawn from lessons.

Texas Amps & Axes utilizes email as its main form of communication on all studio events & happenings. A monthly newsletter is sent out the 1st week of each month. Additionally, event specific emails may be sent out at any time with important details.

Please be on the lookout for these emails to ensure you are aware of registration time frames, student events and closures, recitals & more.

In an effort to preserve studio communications, teachers are prohibited from obtaining and exchanging contact information with students and families. All communication to/from teachers should be directed through the Office or sent through the online Student Portal (JackRabbit). This ensures that the office is aware of schedule changes and able to effectively manage the needs of our students. 

The Student Portal serves as the main point of communication between Studio/Teacher to the Student/Family. Each student and family has a unique login with a Home Screen displaying your monthly calendar. We encourage all parents and students to actively use this portal to stay current on student events and studio alerts. You can access your unique portal through any smart device or computer.

Monthly tuition is due and payable by Auto-Draft on the 1st of each month.

Monthly Tuition posted on our site is reflective of a 4-week monthly average. This Tuition is pro-rated for 3-week and 5-week months, and for Studio Closures. (Please see Studio Calendar for all planned closures.)

Accounts not paid in full by the 7th of the month will incur a $20 Late Fee.

Failure to remit payment by the 10th of the month will result in forfeiture of lesson time.

A live view of a Family’s account is available to you through the online portal for your convenience.

Monthly tuition DOES NOT INCLUDE curriculum.

Curriculum will be added to your monthly invoice as assigned by the teacher.

All curriculum is an additional cost and will be added to a student’s account upon the start of lessons or as needed when a student moves into a higher level.

If you would prefer not to have your student’s curriculum added directly to their account and thus your monthly invoice, please notify the studio.

Special Song Requests – Students are permitted to request supplemental songs, in this instance, the Studio will provide a copy of requested song in a skill level and version that is appropriate for the student. Due to copyright licensing, the Studio is required to purchase these materials and this cost will be passed to the student in the amount of $3.00 per song.

Payment is done through the Student Portal via Credit Card Auto-Draft or Bank ACH. Payment is auto-drafted on the 1st day of the month.
Additionally, payment can be made via cash, check or card on site; however, a card on file is still required in the event that a student requires additional materials or curriculum.

Active-Military & First Responder – 10% Discount on the lesson cost (copy of military ID must be submitted each year to continue this benefit).

Educator Discount – 10% Discount on the lesson cost (copy of ISD Staff ID must be submitted each year to continue this benefit). 

Multi-Student Families – 10% Discount on the total Monthly lesson cost of each additional student. (1st student full tuition, any additional students receive discounted tuition.)

Semester Payments – 15% on the total semester cost 
Semester Pay Discount assumes full semester payment, minimum of 8 weeks, to receive discount. This discount is awarded on the assumption of attendance for ALL classes in the Semester. Any refunds necessary due to withdrawal/cancellation of lessons will be awarded less the FULL (non-discounted) tuition rate.

We cannot combine discounts. In the event a family hits more than one of the Discount factors, we will provide the higher discount to the family’s account.

It is your responsibility to manage your lesson time.  We encourage all students/families to set up a Recurring Reminders on their smart devices to ensure you do not miss your lessons. There are NO MAKE-UPS FOR MISSED CLASSES.

All Students are required to Enroll separately for time slots in both the Summer Term & School Term. Lesson times DO NOT carry over between terms. All times reset and are available on a first come, first serve basis. Six (6) weeks ahead of each term start, current and active students will receive access to the Availability Calendar through the Student Portal to enroll for a time slot in the upcoming term.

Summer Term refers to lessons occurring in June and July.
School Term refers to lessons between August through May.

All lesson times are processed in the order received. In some cases, students may be waitlisted due to enrollment limits or time slot availability. There is no charge for this service. You will be notified by email if/when space becomes available. We will always make every effort possible to ensure we can accommodate your schedule, however, there will be certain times of the week that are and will be fully booked due to the student age group. 

Teaching staff is booked and paid according to your planned attendance for the week. As such, we ask that all students provide notice no later than the day before they will be missing class. 

Any lesson cancelled on the DAY OF a scheduled lesson, regardless of circumstances, is BILLABLE and WILL NOT be offered a Make-Up Credit. We encourage students who are able to do so, to switch to an ONLINE LESSON when they cannot attend in person.

Any lesson cancelled prior to the Day Of the scheduled lesson will be offered a Make-Up Credit.

Informing your teacher IS NOT considered a valid cancellation. Please contact the Front Desk and NOT the teacher. You can reach the Front Desk via email, call or text. You can also use the Student Portal to submit absences.

 

Make Up Credits are issued for Advance Notice Cancellations ONLY.

Make Up Credits should be used to schedule a Make Up Lesson within 60 days of the missed lesson with your teacher or any other available teacher.

A Max of 1 Make Up Credit per Month is allowed.

Make Up Credits expire 60 days from the date of a missed class. NO REFUNDS WILL BE ISSUED FOR MISSED CLASSES OR UNSCHEDULED MAKE UP CLASSES.

Any Student/Family wishing to discontinue lessons MUST submit a WRITTEN WITHDRAW to the Scheduling Team (scheduling@texasampsandaxes.com).

Informing your teacher IS NOT considered a valid cancellation.

Withdraw Notices must be received by the 15th of the month to take effect at the end of the current month. Notices received after the 15th of the month will take effect at the end of the next month. NO EXCEPTIONS.

A student may withdraw their cancellation at any time before it takes effect but your teacher and/or time slot can not be guaranteed.

A Returning Student Re-Enrollment Fee will be required to re-enroll and re-activate a student/families account once the withdrawal takes effect.

All students are encouraged to participate in our Studio Showcases.

Our Studio has 2 annual Showcases, Spring (mid-May) and Winter (mid-December).

Showcases are a limited engagement and registration is required to participate. Details on upcoming events can be found at: https://school.texasampsandaxes.com/recitals/

By enrolling your student with us, you give permission for Texas Amps & Axes to: (1) take photographs of your children as they participate in activities; and (2) use, reuse, modify, publish, and re-publish those photographs and any derivative works (“Photos”) in any format or media, including the Internet, for purposes related to the school’s mission, 

including marketing. Texas Amps & Axes may use Photos without compensation to you or your children. You waive any moral rights and rights to prior inspection and approval of the Photos and its use. Texas Amps & Axes may not sell such Photos to anyone without your permission. You waive any claims, demands, and liabilities against Texas Amps & Axes for taking and using these Photos. You understand that this release is binding upon you, your children, and any legal representatives, heirs, and assigns. 

To opt out of Texas Amps & Axes’ Photo/Video Release Policy, you can sign and return this form, or stop by the office to fill out the opt out form.

Texas Amps & Axes admits students of any race, color, religion, nationality, and ethnic origin. It does not discriminate on the basis of race, sex, color or national origin.

We are closed on the following dates and lessons are pro-rated for these dates:

  • New Year’s Eve
  • New Year’s Day
  • Memorial Day
  • Independence Day
  • Labor Day
  • Thanksgiving Day (and the day after)
  • Christmas Week

Holiday Add-On Lessons are Option & Available During the Following Periods:

  • Prosper ISD Spring Break
  • Prosper ISD Thanksgiving
  • Prosper ISD Winter Break

We are OPEN for all other holidays regardless if schools are closed.  Attendance Policies will be enforced on these dates, No Exceptions.

The safety and well-being of our students, families, and staff is a top priority and the decision to close, delay, postpone or reschedule the lessons and programs are taken seriously. Announcements of weather-related closures or delays will be made on  our website, Facebook page, and alerts will be sent via email and text message.
 
Lessons and programs cancelled for this reason by the Studio will be credited to your account.

If you or your child has any special needs, please contact the office. Texas Amps & Axes is committed to accommodating differences so that the arts are accessible to all.

To ensure your child’s safety, please be sure to pick him/her up promptly after class/camp/lesson. 

Children waiting in the Texas Amps & Axes lobby before and/or after their class/camp/lesson are NOT supervised. Children are under supervision during their instruction time only. Neither teachers nor administrative staff is responsible for supervising children outside of teaching time. We encourage all parents to physically come in and pick up their children to ensure all safety precautions are met.
